HR Advantage Templates

In addition to the basic wage, employees are also entitled to other advantages and incentives depending on the job position and nature of that job. For a quick setup of the above advantages and benefits on employee contract, you can use the advantage templates for labor contracts in the Viindoo Payroll app.

Requirements

This tutorial requires the installation of the following applications/modules:

Create an HR advantage template

Navigate to Payroll ‣ Configuration ‣ HR Advantage Templates. You will be redirected to the pre-configured advantage templates list.

You can find some of the existing advantage templates such as Phone Allowance or Meal Allowance. Choose one template to modify information or press New to create a new one.

Edit details on an HR advantage template

On the record of an advantage template, you need to pay attention to the following information:

  • Name of the advantage template:
    For example: Travel allowance, Meal allowance, etc.
  • Code:
    This code is used in salary rules during the payslips computation.
  • Amount Type:
    System default set up Monthly base. This Advantage will be registered on payslip every month.
  • TimeOff Type:
    A time off request of this TimeOff Type may generate advantages for payslips based on time off time. For example: If you choose Bussiness Travel TimeOff Type, allowance amount = number of hours time off * cost off one hour of bussiness travel.
  • Monthly Amount:
    The amount of money put in this field will be automatically suggested when you select this advantage type during the labor contract.
  • Lower Bound - Upper Bound:
    This is the minimum-maximum range for the advantage you create. If the advantage amount added on a labor contract is out of this range, a warning will pop up and you won’t be able to save the change. Example: If the upper bound of the Travel allowance is set at 10.000.000 VND, but is configured as 15.000.000 VND on the labor contract, then when you try to save it, a warning is displayed as follow:

  • Included in Payroll Contribution:
    If enabled, the advantage amount will be included in the calculation of salary contributions such as insurance or labor union fees.
  • Job Positions to apply:
    For each job position, you can apply a specific monthly amount for the advantage. Job positions not included in the list will have the suggested advantages Monthly Amount displayed on the Monthly Amount field.

Setting up human resource advantages on employee contract

Navigate to Payroll > Employees > Contract and edit employee’s contract. Then, you go to the Salary information tab and choose the created HR Advantages at the Monthly Advantages field.

Change the advantage for multiple employee contracts

In case your HR Advantage has changed, you can change the advantage for multiple employee contracts. On the benefits plan for the contract, select Update contract advantages.

Update Contract Advantages
  • Amount: By default, the system will use the amount at the lower limit. You can adjust the amount here; however, you are only allowed to change it within the upper and lower limits set in the contract benefits plan.

  • Click on Add a line then choose the contract that you want to update/create advantage.

On the selected employee contracts, the advantage will be updated.
