Freight Forwarding in Viindoo: solution map and modules¶

Requirements

This tutorial requires the installation of the following applications/modules:

Logistics Shipment
Freight Forwarder Management (installs Logistics Accounting automatically)

A forwarder that quotes in one spreadsheet, books space by email and reconciles profit in a third tool re-types the same shipment three times, and finds out the real margin weeks after the invoice went out. Viindoo keeps one shipment record from the quote to the gross profit, whether it moves a Full Container Load (FCL) or a Less than Container Load (LCL) - see the Freight forwarding glossary for every term used across this guide.

What the solution covers¶

Two modules run every shipment; the rest add a transport mode, an automation, or a reporting layer on top of them, and several of those install themselves the moment their dependencies are met.

Note

Optional integrations may install automatically when all their dependencies are installed; the modules must also be available and installable in your deployment. In 17.0, Freight Dashboard needs Spreadsheet Dashboards, Freight Project, Freight Sale and Logistics Routes Integration already installed for automatic activation. Installing Freight Forwarder Management alone does not install every optional integration. Before following a guide, check its Requirements and confirm the required apps are installed. Check the current price on the linked App Store page before installing a paid add-on.

Note

Shipment profit fields (Total Revenue, Total Cost, Gross Profit) always display in the company’s accounting currency - VND for Hai Long Logistics - even when the quote and the charge lines are priced in USD.

How the pieces connect¶

A shipment moves through the same sequence regardless of transport mode:

Set a buy and sell rate for the lane and container type, for example Hai Long Logistics’ rate for Ocean Freight - FCL, Hai Phong Port to Port of Los Angeles, 40FT HC, with carrier ONE. See Maintain carrier rates and vessel schedules.
Quote the shipment, pick a sailing schedule and check the margin before it goes to the customer. See Quote a full container load for sea export.
When the customer confirms the sales order, Viindoo creates the shipment automatically, in the Draft stage, with the same route, carrier and container type that were quoted.
Confirm the booking with the carrier and record the CY, SI and VGM cutoffs before departure. See Book carrier space for a shipment leg.
Track containers through Empty Picked, Stuffed, Gate-in and Loaded before the vessel sails. See Track container milestones from empty pickup to return.
Post charges to a customer invoice and a vendor bill from the shipment’s Charges tab. See Charges and Profitability.
Once the vendor bill is posted, read the shipment’s Gross Profit and compare it to what was quoted.

Which modules you need¶

A forwarder that only moves full containers by sea installs Freight Forwarder Management and stops there. Hai Long Logistics also consolidates LCL cargo, flies and consolidates air cargo, trucks cargo cross-border and pays import duty for some customers, so it adds Freight Consolidation, Freight Air Management, Freight Air Consolidation (LCAF), Freight Road and Onbehalf Payment in Freight as well.

The other modules install themselves once their dependencies are met - check the Install mode column of the table above. After installation, open the freight application’s Configuration –> Settings, enable the extensions your team uses and save. Installing a module alone does not enable every optional feature.

Tip

You have the right map when: you can name the two modules every installation needs, and which extra modules Hai Long Logistics needs for its mix of sea, air and road business.

If a user cannot see a shipment or an expected button, check their access groups and the record’s state before installing another module.
