How to receive, deliver and count stock with barcodes

Open the Barcode app, tap Operations, open a ready transfer and scan the barcode of each product: every scan adds one unit to its line. Tap Validate when all lines are complete. To count stock, tap Inventory count, scan a location, then scan its products. A USB or Bluetooth scanner, the camera of a phone or tablet, or typing the number all give the same result.

Who

Warehouse staff with the Inventory User access right use the app. An Inventory Administrator sets up the barcodes.

Before you start

  • Install the Inventory app (see How to install Inventory and give users access to it). The Stock Barcode module is installed with it; if the Barcode app is missing, turn on Inventory Barcode Scanner in Inventory ‣ Configuration ‣ Settings.

  • Fill in the barcodes of your products (see below). Every scan relies on them.

  • Turn on Lots & Serial Numbers, Storage Locations or Packages in the Inventory settings if you scan lots, locations or packages.

Which scanner can I use?

Any scanner that types the code like a keyboard (USB, Bluetooth or a hand-held terminal) works without any setting: scanned codes reach the current screen. On a phone or tablet with a camera, a camera button at the top right of every Barcode screen reads the code. Without a scanner or camera, type the number into Scan or type a barcode.

How do I give barcodes to products, locations and operation types?

  1. Products: open the product in Inventory ‣ Products ‣ Products, click in Barcode, scan or type the code and save. To edit many products at once, use Inventory ‣ Configuration ‣ Products ‣ Product Barcodes.

  2. Locations: open the location in Inventory ‣ Configuration ‣ Warehouse Management ‣ Locations, fill in Barcode and save.

  3. Operation types: open the type in Inventory ‣ Configuration ‣ Warehouse Management ‣ Operations Types, fill in Barcode on the General tab and save. Give each type its own code: scanning a code shared by several types creates no transfer.

  4. To print labels, click Print Labels on the product form, choose the quantity and the format, then click Confirm.

How do I receive goods by scanning?

  1. Open the Barcode app and tap Operations, then Receipts. The number on the card is the number of ready transfers.

The list shows the Ready transfers. Tap Show all open transfers to see the draft and waiting ones too. You can also scan the name of a transfer on its printed slip.

  2. Open the receipt and scan the barcode of each product. A line shows the scanned against the expected quantity, for example 1 / 120 Units, and Partial or To scan while it is not complete.

  3. To correct a quantity, tap the line and use -, +, Clear or Delete. For a product with a packaging, scan the barcode of the packaging to add its whole quantity. To receive into another place, scan the barcode of the location first.

  4. For a product tracked by serial number, scan one unit at a time with its serial number: a serial number cannot be scanned twice on a transfer. For a lot, scan the lot number with the product.

  5. When every line is complete, tap Validate. Answer the question on screen if there is one, for example to create a backorder.

Internal transfers work the same way: open the internal operation type, scan the locations if needed and the products, then Validate. To create a transfer, scan the barcode of its operation type on the home screen, then scan the products.

Below the lines you also find Check availability, Put in pack (when Packages is on), Print, Return on a done transfer, Scrap and Cancel transfer.

How do I count the inventory by scanning?

  1. On the home screen, tap Inventory count.

  2. Scan the barcode of a location. Every following scan is counted there. Tap the cross next to the location to count in the stock location of your warehouse again.

  3. Scan each product. Each scan adds one unit to the counted quantity, and the line shows the quantity on hand, who counted and the difference. Tap a line to correct it.

  4. Tap Apply on a line, or Apply all to accept the counted lines of the scanned location.

An Inventory User sees only their own counts; an Inventory Administrator sees everyone’s.

How do I press buttons by scanning?

On the home screen, tap Print commands and print the sheet. Scanning a code starting with OBT presses the matching button of the current screen (for example Validate); a code starting with OCD runs a general command, such as opening the Barcode app. Do not use such numbers as product or location barcodes.

What should I see when it works?

The transfer is Done after Validate, the stock is moved, and an applied count updates the quantity on hand.
