Overview and configuration of the Project application in Viindoo

Requirements

This tutorial requires the installation of the following application:

Overview about the Project app

Viindoo Project app provides a Project Management Solution on a digital platform, helping enterprises to plan project implementation, estimate time, human resources to perform each task, track the implementation progress, and record expenses based on timesheets for each task.

With intuitive interfaces (Kanban, Gantt Chart) and exchange information using the enterprise’s internal social network, the project manager will have an overall view of all project resources, thereby coordinating to closely follow the tasks, complete the set plan.

Basic functions of the Project app:

1. Plan the project.

  • Create tasks: You can separate a task into smaller sub-tasks to help you manage, mark priority, and classify the tasks by colors.

  • Planning for each task: Expected finishing hour, start date, end date.

  • Assign the tasks to the person in charge.

  • Gather all the information in a single platform, avoid missing or late.

2. Manage work progress.

Follow the work progress from multiple perspectives with intuitive charts:

  • Kanban view.

  • List view.

  • Gantt chart.

  • Graphs.

  • Calendar view.

  • Pivot view.

3. Manage resources.

Covering the workload and work progress of each employee, promptly detecting and handling bottlenecks.

  • Record exchanged information and work history, add followers.

  • Send emails, co-operate with customers on the tasks but still guarantee security.

  • Real-time co-operation, record edit history, transparency of all exchanging information.

  • Create reminders to avoid forgetting the tasks.

4. Instant, overview reports.

  • Gather data into clear, intuitive, and dynamic charts that update real-time data.

  • Overview project reports: Employees’ total working time, total Cost, and Revenue.

  • Task analysis with Gantt report.

5. Integrate with other Viindoo apps.

  • Sales: Manage quotations, orders, invoices, customer payment, etc.

  • Timesheets: Record and manage working time, auto-record the project’s cost.

  • Helpdesk: Record support requests, support other departments, or customers.

Setting up the Project app

Modules to install

Enter Viindoo Apps. On the search bar, search Project, press Install.

Note

After installing the Project app, other technical modules will also be installed to support and complete the Project app’s features.

To use the advanced features of the Project app, users need to install the following modules:

After the installation, enter the Project app from the main menu of the system.

Project access rights

There will be multiple users with different access rights joining a project. Viindoo system also allows you to set up the member’s access rights.

Navigate to Settings > General settings, at the Users section, select Manage users, and then select the user you want to set up the access right to.

There are 3 options for the access right of the Project app:

  • Blank: The user will only be able to see projects that have Visibility set to All internal users.

  • User: The user can create/edit/delete their own projects and tasks.

  • Administrator: The user will be able to configure, read, create, edit, and delete all the projects and tasks.

General settings

Navigate to Project > Configuration > Settings, to set up the general information of the Project app.

  • Collaborative Pads: This feature allows collaboration with the text editor in the Description tab of a project or task.

  • Sub-tasks: Allow enterprises to separate a task into smaller sub-tasks.

  • Recurring Tasks: This feature allows auto-creating the recurring tasks.

  • Task Dependencies: Allow one task to depend on others, determine the order in which to perform tasks.

  • Project Stages: Allow you to create and manage project stages, keep track of the progress of your projects.

Set up Task Logs
  • Enable Full Access Rights for Project Manager: When a new project is created, the system will grant full access rights to the project manager by default.

  • Task Logs: Activating this feature will allow enterprises to keep track of the time for the project and the tasks.

  • Profitability: This feature allows you to track the costs and revenues linked to your projects.

  • Customer Ratings: This feature allows enterprises to keep track of the customer’s satisfaction about the tasks.
