Overview
This guide is for the salespeople who put an affiliate code on quotations and sales orders, and for the people who run the affiliate programme: the affiliate programme administrator, who decides what happens to the commission when the seller is the affiliate, and the affiliate managers and coordinators, who review the commissions of those orders.
Sales with Affiliates connects Affiliate Management with Sales. A quotation or sales order carries the affiliate code of the affiliate who brought the customer, a confirmed order creates the commission of that code, and the sales analysis can be grouped by affiliate. Two cases are treated apart, because the affiliate sells or buys the order: when the salesperson of the order is the affiliate of the code, the commission follows the commission policy When the Seller Is the Affiliate; when the customer of the order is the affiliate, the order follows the policy option Commission On Own Sales Orders.

Select the affiliate code on the sales order
For salespeople. After installing the application, you select the affiliate code on a quotation through the following steps:
- Step 1: The affiliate team creates the affiliate codes in Affiliate ‣ Affiliate ‣ Affiliate Codes ‣ New. After the partner is chosen and the code is saved, the system generates the code of the affiliate (see the viin_affiliate documentation).
- Step 2: Go to Affiliate ‣ Sale Orders ‣ Quotations ‣ New, or to Sales ‣ Orders ‣ Quotations ‣ New when the Sales app is installed. On the quotation, select the code of the relevant affiliate in the AffCode field. The code can be chosen or changed while the order is a quotation and is locked once the order is confirmed.
- Step 3: Click Save, then Confirm. Back on the affiliate code, the Referred Sale Orders button shows how many orders carry the code. Click it to list them; the list shows the confirmed sales orders, and removing the Sales Orders filter adds the quotations.
When the seller of the order is the affiliate
For salespeople, affiliate managers and coordinators, and the affiliate programme administrator.
A salesperson can be an affiliate too and can put their own affiliate code on an order they sell. The seller of a sales order is its Salesperson, shown in the Sales section of the Other Info tab of the order. The order is an own sale of the seller when the code on the order is the code of that salesperson.
What happens to the commission of an own sale is set by When the Seller Is the Affiliate in the commission policy, which the viin_affiliate documentation describes with the other policy values. The value applies when the order is confirmed:
- Pay: the commission is paid like any other.
- Hold for review: the commission is created in Draft with a note, and an affiliate user confirms or cancels it.
- Do not pay: the commission is recorded as Cancelled with a note. An affiliate user can set it to Draft and confirm it to pay it.
The sale itself is never blocked: the order is confirmed and invoiced as usual, and only the commission waits. The check reads the Salesperson recorded on the order when it is confirmed, and every change of the Salesperson is recorded in the chatter of the order. A salesperson who sells under a colleague's name, or with a code held by another contact of the same person, is not detected.
What the order and the commission show
With Hold for review, once the salesperson confirms the order:
The chatter of the order gives the reason in a note: The seller of this order is its affiliate: the commission is kept in Draft until an affiliate user confirms it. Affiliate users also see a Commission button on the order that opens the commission.
The commission is Draft, its Own Sale field shows Seller is the affiliate, and its chatter carries a note: The seller of this order is the affiliate: the commission is kept in Draft for review. An affiliate user confirms it in the commission list, or cancels it.
With Do not pay, the commission is created Cancelled with the same Own Sale mark, and the notes say that it is recorded cancelled. Lines added to the order after its confirmation, or a product changed, update the commission and keep a held commission in Draft.
Confirm or cancel a held commission
For affiliate managers and coordinators. The commissions of own sales are in Affiliate ‣ Affiliate ‣ Commission, with the filter Own sales, and in the Commission button of the order.
- Open the held commission and press Confirm to pay it, or Cancel to refuse it.
- To confirm several held commissions at once, tick them in the commission list and press Confirm in the header of the list; the viin_affiliate documentation describes this review.
- To pay a commission recorded as not paid (Do not pay), open it, press Set to Draft, then Confirm.
An affiliate user who is the seller can confirm their own held commission: nothing refuses it, and the tracked status in the chatter of the commission shows who confirmed it.
Keep paying the sellers of some sales teams
For the affiliate programme administrator. When When the Seller Is the Affiliate is Hold for review or Do not pay, the commission policy also shows Still Pay Sellers in These Sales Teams. The orders of the sales teams listed there pay the seller who is the affiliate as usual, whatever the value is: their commission is confirmed and keeps its Own Sale mark. The orders of the other sales teams, and the orders without a sales team, follow the value. The sales team of an order is shown in the Sales section of its Other Info tab.
- Go to Affiliate ‣ Configuration ‣ Commission Policies, open the policy in force and press Schedule Policy Change.
- Choose Hold for review or Do not pay in When the Seller Is the Affiliate.
- In Still Pay Sellers in These Sales Teams, choose the sales teams whose sellers are still paid.
- Save the policy. It applies from its Effective From date and time.
Like the other values of the policy, the sales teams are locked once commissions use the policy: a change is a new policy, which applies from its own date and time, and the commissions created earlier keep the policy they were created with.
When the customer of the order is the affiliate
For salespeople and the affiliate programme administrator. An affiliate can buy for themselves with their own code. The Commission On Own Sales Orders option of the commission policy, in its Sales section, decides what happens when the customer of the order is the affiliate of the code on the order:
- Off, which is the default: the affiliate code is removed from the order when it is confirmed and no commission is created. A note in the chatter of the order gives the reason: The customer of this order is its affiliate, and the policy does not pay commission on own sales orders: the affiliate code is removed.
- On: the commission is created and paid like any other, and its Own Sale field shows Customer is the affiliate.
When the affiliate is both the customer and the seller of the order, this rule applies, not When the Seller Is the Affiliate.
Sales report by affiliate code
To view sales reports by affiliate criteria, go to Sales ‣ Reporting ‣ Sales (Sales app, for users with Sales / Administrator). Users who also hold an Affiliate access right find Affiliate in the Group By options: use it, or the filters, to show the sales orders and revenue of each affiliate.
